As Executive Assistant to the Chief Operations Officer (COO) you will play a pivotal integrator role; you are the person that holds everything together, beats the drum (provides cadence), and ensures your key stakeholders are working effectively & remain accountable. Your role as an integrator means you will provide essential leadership support and diligent organisation, excellent communication and consistency. You will operate one step ahead, operate on logic, drive results; be proactive in resolving issues and driving a high level of focus.

As Glean continues to grow, you will be adaptable to changes within your role, continuing to utilise your experience to support the COO and key stakeholders, while thriving in an fast paced environment. You will seek opportunities for improvements and develop new processes to increase efficiency.
You will have a wide range of responsibilities, including administrative duties, project work and ensuring good communication between the COO and stakeholders. In addition to supporting the COO, you will also work closely with the Head of People and Culture to provide support on executing internal communications and events.
Your responsibilities will include, but are not limited to;
Ensuring the COO’s time is thoroughly organised and their productivity is optimised, enabling them to be as effective as possible
Organising and managing tasks and activities for the Senior Management team
Holding the COO and Senior Management Team accountable for actions, tasks, deliverables and any other matters as needed
Attending meetings; capturing actions and minutes as well as following up on required actions with the relevant stakeholders
Collating management reports for the COO/CEO to review
Creating consistency and rhythms that provide structure and guidance
Preparing agendas and taking notes for stakeholder meetings and following up on actions from the agenda
Producing Board agenda and packs
Ensuring effective communication between the COO and key stakeholders
Proven experience in providing executive support
Able to demonstrate an ability to organise a busy workload and maximise executive efficiency
Experience of working in a start-up or high growth organisation would be desirable
Strong evidence of organisation and time-management skills
Excellent communication skills
Adaptable to, and comfortable with, change
Ability to work autonomously, whilst also working effectively as part of a team
High level of attention to detail
