As Executive Assistant, you will ultimately be a strategic advisor and confidant to the CEO of Glean, whilst also providing leadership support to the COO. As the organisation continues to rapidly grow, it is essential that the business leaders have a trusted representative who is accessible and approachable for both internal and external stakeholders - you will be that person, acting as a prominent ambassador of Glean. You will also ensure that the CEO and COO’s time is meticulously organised, and will provide hands-on support with a breadth of responsibilities.
Drawing upon your proven experience, you will be responsible for identifying the changes that need to be implemented in order for your role as an Executive Assistant to be as effective as possible. You will implement these changes and continuously seek new ways to improve efficiency, ultimately playing a pivotal role in supporting the Senior Management team to fulfil its potential, whilst bolstering the CEO’s professional profile and effectiveness as a leader.
You will be responsible for providing wide-reaching support to the CEO, whilst also assisting the COO in a business support capacity. Your responsibilities will be varied, and to some degree, open to interpretation - you should be prepared to identify business matters that would benefit from your support.
Your responsibilities will include but not be limited to;
Executive Administrative and Organisational Support
Inbox and diary management, including meeting scheduling and logistical planning
Proactively plan the CEO’s time with the view to maximising his efficiency
Building a strong understanding of business priorities, gradually gaining the ability to instinctively understand where the CEO’s time is best spent
Providing extensive meeting support, including preparing agendas, briefings and action points
Managing relations across a breadth of stakeholder groups, both internally and externally
Taking full responsibility for travel and expenses
Responsibility for building the CEO’s profile
Coordinating the CEO’s social media presence
Researching and securing public speaking engagements and award opportunities
Coordinating press and media needs for comments and quotes from the CEO
CEO 360 Support
Project management - actively drive the the CEO’s most critical projects and strategic initiatives, take the lead on projects where appropriate and facilitate seamless collaboration
Deputising for the CEO when necessary
Content creation - assist in creating compelling and creative presentations, and acting as a ghostwriter to the CEO
Highly involved with research to help create compelling, evidence based narratives, including reading, digesting and summarising a range of material and delegating to the CEO as appropriate
Identifying key networking opportunities for the CEO
Thoroughly experienced in providing highly effective executive support
Proven experience in writing strategy and communication documents
Highly experienced and confident in networking - both in-person and via digital platforms
Experienced in profile building using a range of mediums, including social media
Experience of working with Founder/ CEO who has driven a new product to market would be highly desirable
Experience of working in a high-growth, tech environment would be preferable
